Privacy Policy for EMC Web sites


This document describes the Privacy Policy for the web sites at www.exhibitormanual.com and www.exhibitorkit.com (the 'Site(s)') that are operated by Event Management Communication Inc. ('EMC'). If you have any objections to this Privacy Policy, you should not access or use these Sites. This Privacy Policy does not govern privacy practices associated with offline activities or other EMC web sites.

In this document, "Personal Information" is defined as any information collected through a web site that identifies or can be used to identify, contact or locate the person to whom such information pertains.

Collection of Personal Information

Personal information on this Site is collected by EMC on its own behalf and on behalf of its clients. When we collect information of behalf of clients, that information becomes their responsibility and is subject to their respective privacy policies, in the same way as if the information was collected through a web site of the client. Where appropriate, this will usually have been made clear to you when signing your contract for participation in an event.

The Site contains links to other sites at which personal information is collected. In such instances, unless expressly provided to the contrary, the collection and use of your personal information will be governed by the privacy policy applicable to that site. That privacy policy should identify the party that is collecting your personal information.

As a visitor to this Site, you can engage in many activities without providing any personal information. In connection with other activities, such as using online software applications, EMC or an EMC client may ask you to provide certain information about yourself by completing and submitting an online form. It is completely optional for you to engage in these activities. However, if you elect to engage in these activities, EMC or an EMC client may ask that you provide personal information, such as your full name, postal address, e-mail address, employer, job title and department, telephone and facsimile numbers, and other personal information. When ordering products or services on the Site, you may be asked to provide a credit card number or other personal information relating to a payment. Depending upon the activity, some of the information that we or our clients ask you to provide is identified as mandatory and some as voluntary. If you do not provide the mandatory data with respect to a particular activity, you may not be able to engage in that activity.

When you use the Site, EMC, clients of EMC or third parties authorised by EMC may collect certain technical and routing information about your computer to facilitate your use of the Site and its services. For example, we may log environmental variables, such as browser type, operating system and the Internet Protocol ('IP') address of your computer. We use these environmental variables to facilitate and track your use of the Site and its services. EMC also uses such environmental variables to measure traffic patterns on the Site. Without expressly informing you in each particular circumstance, we do not match such information with any of your personal information.

When you submit personal information through this Site, you understand and agree that this information may be transferred across national boundaries and may be stored and processed in any of the countries in which EMC and its subsidiaries and service partners operate. You also acknowledge that in certain countries or in respect of certain activities, the collection, transferring, storage and processing of your information may be undertaken by trusted service partners of EMC. Such service partners are bound by contract not to use your personal information for their own purposes or provide it to any third parties.

EMC has established relationships with various clients and service providers whose services are available to you from this Site or from web sites that are linked to this Site. These providers offer services in connection with your participation at an event or in conjunction with products and services offered by EMC. In order to use those services, you may be required to provide personal information to the providers. Unless expressly stated to the contrary, personal information that you provide while you are visiting a provider’s web site will be subject to the privacy policy posted on such site and personal information that you provide while on this Site in conjunction with a provider’s service will be subject to this Privacy Policy. You should be aware that our agreements with these service providers are often on condition that they will share with EMC personal information collected from you. In such instances, EMC may use this information in a manner consistent with this Privacy Policy.

In order to reduce errors in our database, authenticate our users and prevent abuse of our system we may on occasion supplement the personal information you submit to us or our clients with information from third party sources. For example, we may supplement your registration information with address information provided by a national postal service to qualify your information and prevent errors in our database.

How your Personal Information is used

EMC and our clients collect your information in order to record and support your participation in the activities you select. If you order products and services or subscribe to a service, for example, the information is used to register your rights to delivery of that service. Your personal information is also used to keep you informed about forthcoming events, service and product upgrades, special offers, and other products and services of EMC, its clients and selected third parties if you have so opted to receive such communications.

EMC has no rights to use information collected on behalf of a client without the client's express permission. The client will inform you if such permission has been given and will give you the option to withdraw your consent from the use of your information by EMC.

EMC may collect information about the use of the Site; such as the types of services used and how many users we receive daily. This information is collected in aggregate form, without identifying any user individually. EMC may use this aggregate and anonymous data for statistical analysis, marketing or similar promotional purposes.

Without your consent, EMC will not communicate any information to you regarding products, services and special offers available from EMC, although we may find it necessary to communicate with you regarding your use of the services on this Site. Except in the particular circumstances described in this Privacy Policy, EMC will not provide your personal information to other companies or organisations without your consent. However, please note that if your personal information is collected on behalf of a client, that client's privacy policy may provide for the use of your information in different ways.

There are other instances in which EMC may divulge your personal information. EMC may provide your personal information if necessary or in its judgement, to comply with laws or regulations of a governmental or regulatory body or in response to a valid subpoena, warrant or order or to protect the rights of EMC or its clients or others.

Please note that EMC is not responsible for the content or privacy practices of web sites to which any EMC site may link. You should review the privacy policy of such sites before using them.

Protection of your Personal Information

The personal information that you provide when registering yourself as a user of EMC products or services, or as a user of services offered by an EMC client, is classified as Registration Information. Registration Information is protected in several ways. Access by you to your Registration Information is available through a unique customer identifcation and password selected by you. This password is encrypted. We recommend that you do not divulge your password to anyone. In addition, your Registration Information is stored on a secure server that can only be accessed by selected EMC or client personnel and contractors via a password. EMC encrypts much of your personal information and thereby strives to prevent unauthorised parties from viewing such information when it is transmitted to or from the EMC servers.

Personal information that you provide that does not constitute Registration Information also resides on a secure server and is accessible only to selected EMC or client personnel and contractors with a password. Since this information is not accessible by you, you will not be asked to select a password in order to view or modify such information.

Use of 'cookies'

When you visit this Site, you can browse the Site and access information without revealing your identity. In order to facilitate your use of our Site, we use 'cookies' to track your visit. A cookie is small amount of data that is transferred to your browser by a Web server and can only be read by the server that transferred it. It functions as your identification to us, and enables us to record your passwords and preferences. This cookie cannot be executed as code or deliver viruses.

Most browsers are initially set to accept cookies. You can set your browser to notify you when you receive a cookie, giving you the opportunity to decide whether or not to accept it. However, please note that for some pages in the Site that require an authorisation, cookies are not optional. Users choosing not to accept cookies will not be able to access those pages.

While EMC uses cookies to track your visit to our site, and our web servers automatically log the IP/Internet address of your computer, EMC does not generally use this information to identify you personally. However, if you expressly provide consent for EMC to 'remember' the unique identifier that you select when you register for various activities on the site, that unique identifier will be stored in a cookie on your computer, and your navigation of the site will be tracked. We use this data to understand how our site and services are being used so that we can understand our customers and offer appropriate products and services.

Changes in EMC's Privacy Policy

All Personal Information that we collect and maintain will be subject to the Privacy Policy in effect at the time of such collection. EMC reserves the right to change the Privacy Policy from time to time at its sole discretion, and will provide notice of material changes on the home page of the Site. If, as the result of such changes, you wish to alter the way in which EMC is allowed to use your personal information, you can do so by contacting EMC by e-mail, telephone or mail at the address given at the end of this document.

You will be deemed to have been made aware of, and will be subject to, the changes to the Privacy Policy by your continued use of the Site after such notice has been posted for thirty (30) days with the exception that if at the time you provide personal information to EMC you are given the opportunity to limit how such information will be used to communicate with you, either by EMC or by third parties, EMC will not change your preference in this regard without your express consent. However, if EMC sells assets (or the assets of a division or subsidiary) to another entity, or EMC (or a division or subsidiary) is acquired by or merged with, another entity, EMC may provide to such entity customer information that is related to that part of our business that was sold to or merged with the other entity without your consent.

Updating your Personal Information and preferences

You have the right to access and correct your personal information and privacy preferences at any time. With respect to Registration Information, this may be accomplished by linking to your account where you can view and make changes to your personal information. You may also access and correct your personal information and privacy preferences, such as whether you wish to receive promotional communications from EMC or third parties, by contacting EMC as follows:

Please include your name, address, telephone number and e-mail address when you contact us. Please also indicate with as much detail as possible the location on this Site (or the specific event) where you provided your personal information.

Please note that if you provide EMC with inconsistent privacy preferences - for example, by indicating on one occasion that third parties may contact you with marketing offers and indicating on another occasion that they may not - EMC cannot guarantee that your most recent privacy preferences will be honoured.

Enquiries and Complaints

EMC takes its users' privacy concerns seriously. If you believe that EMC has not complied with this Privacy Policy in respect of your personal information or you have other related inquiries or concerns, you may write to EMC at the address indicated above. In your letter, please describe in as much detail as possible the nature of your enquiry or the ways in which you believe that the this Privacy Policy has not been complied with. We will investigate your enquiry or complaint promptly and thoroughly, and reply to you describing what steps we have taken to remedy any non-compliance.
